OneNote Tip for Expanding Text

If you use both OneNote on the desktop and OneNote on mobile (iOS or Android) you may have encountered the problem I see all the time:  changing between a mouse and touch interface.  Here’s the situation. If I create a list of links on the desktop in a OneNote page they’ll work fine until I go to access that page on my mobile device.  It’s at that point I find the lines are two close together and difficult to select.  Now I could zoom in on mobile, and I could also increase the font if I wanted something more permanent, but there’s a third option.

Try this next time you have a list you know you’re going to interact with both on desktop and mobile.  Select the list on your desktop and go to Home > Paragraph Alignment > Paragraph Spacing Options.  Set the spacing option for after each paragraph to a minimum of 6 pixels and then click Ok.

The list will be reformatted to include a six pixel gap between the lines.  Even more effective is to do this at the beginning when  you create the list so the gaps are added automatically each time you press Enter.

By doing this you’ll give yourself a way to have neat, organized lists that work both on your desktop as well as on mobile.

One click to a new post in WordPress.com

Starting a new post on your website immediately can mean the difference between capturing and losing a great idea. If you’re using WordPress.com you can add a link to your browser bookmarks or dashboard application of choice to start a new post with one click.

Click on Posts then right click on Add New and select Copy Link Address. Add the URL to your browser bar or bookmarks to create a new WordPress post with a single click.

Share an outline branch from Workflowy

Collaborating with others through Workflowy is a simple process. As an outline based tool, Workflowy gives you the option to share any branch of the outline with others. Click on the three dots to the left of the page name and select Share from the menu. Click on enable link sharing and then determine if you want to share a link with special permissions or if you want to invite people on an individual basis. This is a great way to keep teams and individuals in the loop while you’re working.

Dock a OneNote note with one easy step

If you’re using OneNote 2016 and you’re trying to take notes from another screen, say a web site or a spreadsheet, press Ctrl-Alt-D to dock OneNote to the right side of your screen. This makes it easy to take notes while you continue to work with the notes automatically saved as you go.

Bonus – Click on the chain icon in the upper right to enable Linked Note Taking tied to the browser if you are taking notes from the web.

Hold an impromptu meeting for your team in Teams

Getting everyone together for a meeting can take time out of your day and sometimes you need to have that meeting right now. Microsoft Teams gives you the ability to do this from within a channel by going to the Posts section of the channel and then selecting Meet: Meet Now from the upper right corner of the channel screen.

Bonus – You can click on the pull down and select “Schedule a meeting” to add a scheduled meeting to the channel for all the team members.

Create a mobile friendly task list in Notion

If you’re managing tasks or checklists in Notion and want a mobile friendly interface I recommend creating a Gallery view for your list. Not only does it work on the desktop as well as on mobile, but it scales to work well in the vertical layout of a phone.

In Notion, go to your listing, select Add a View and choose Gallery. You can then choose what properties are displayed as well as any filters and sorts that need to be applied.

Bonus TIP – On mobile if you press and hold on any of the gallery boxes you can drag them to change their order in the list. I use this frequently when re-prioritizing my work.

Add a Todoist project to your calendar

Todoist has a nice feature of allowing your projects to be displayed on external calendars such as Outlook or Google Calendar. From within Todoist, click on the three dots to the right of the project name and select “Project Calendar Feed”. Now follow the directions for your preferred calendar tool to see your project tasks represented on your calendar with your appointments and meetings.

Gain space for more tabs in Edge with one click

In the upper left corner of the browser click on the Turn On Vertical Tabs icon to move your browser tabs from across the top to down the left side.

Bonus Tip – Click on Collapse Pane at the upper right of the list of vertical tabs to regain even more space on your screen.

Quick Page Access in Workflowy

One of the strengths of Workflowy is the ease of page creation within the tool, however it can also be a weakness when you have a large number of pages created. Navigating between pages that aren’t related vertically in your outline can take a number of steps, but there’s a way to access any page directly within a couple of key-clicks.

Pressing Ctrl-K on Windows or Mac, or Ctrl-; on Chromebook, will bring up the Jump to Page dialog. From there you can go directly to any of your Starred pages or enter the name of any page and jump there.

Schedule a meeting in Teams instead of Outlook

If you need to schedule a meeting for your team and you use Microsoft Teams, you can save time by scheduling the meeting from within Teams instead of jumping out to Outlook to book the time.

Go into your Team, select a Channel, and then in the upper right select the pull down next to Meet. Choose “Schedule a Meeting” and you can book the meeting without having to leave Teams.

Bonus Tip – You can use the Scheduling Assistant at the top of the screen to compare schedules to find the best available time.
